# HVAC lead cost: calculate what you can afford

HVAC lead costs range from $50–$325 per inquiry or call. What you can afford depends on contribution per paid job, conversion and follow-up costs.

## What do HVAC leads normally cost?

HVAC lead costs range from $50–$325 per inquiry or call, depending on the job, service area, season and qualification.

Compare like for like. A project inquiry and a live phone call are different products. Include setup fees and follow-up time when working out the total cost.

| Lead type | Cost range (USD) | What to check |
| --- | --- | --- |
| Qualified HVAC inquiry | $50–$200 | Job fit, intent age, exclusivity and any additional fees |
| Exclusive HVAC call | $65–$325 | Service area, call qualification and billable-call rules |

## What close rate should you plan for?

For installation-lead budgeting, use a 15–25% close-rate range: 15–25 jobs per 100 leads. Response time, job fit and follow-up affect your result.

For comfort-advisor sales opportunities, use 25–35%. These customers are further along than a raw inquiry, so track the two stages separately.

Calculate your close rate as paid jobs divided by purchased leads from the same period. Track appointments and quotes separately.

| Sales stage | Planning range | How to use it |
| --- | --- | --- |
| Installation leads | 15–25% | Test acquisition costs, then replace with your own paid-job results |
| Comfort-advisor sales opportunities | 25–35% | Model this later sales stage separately from raw inquiries |

## Compare the same purchased unit.

Ask what the price buys before comparing suppliers. An ad click, contact record, project inquiry and booked appointment represent different stages of the sales process.

| Unit | What to clarify |
| --- | --- |
| Advertising click | A visit, not necessarily a customer inquiry |
| Contact record | Whether any current need or buying intent is established |
| Project inquiry | Job type, geography, age, source and sharing rules |
| Booked appointment | Who confirmed it, eligibility and no-show treatment |

## Work back from contribution.

Break-even lead price = contribution per completed job × lead-to-paid-job conversion rate − sales cost per purchased lead.

Illustration only: if a completed job contributes $2,000 after delivery costs, 1 in 10 purchased leads becomes a paid job, and follow-up costs $30 per lead, the break-even lead price is $170. Paying $100 leaves $70 expected contribution per lead before other overhead. These are hypothetical inputs, not Matagi prices or observed results.

Leave room below break-even for profit and uncertainty. Calculate repair and replacement separately if their job values and conversion rates differ.

## Use your own paid-job results.

Track purchased leads, contacted customers, quotes, paid jobs, refunds and delivery costs by work type and acquisition source. Use the same cohort and allow enough time for jobs to close.

Small samples can swing sharply. A promising first job demonstrates possibility; repeated paid jobs reveal whether a channel is economic.

## Check the opportunity's current price.

Matagi does not publish a flat HVAC price in this guide. Review the price and ownership category shown in the product at purchase. A maximum Auto-buy setting is a ceiling, not a promise that every opportunity costs that amount.

Public supplier ranges may be industry benchmarks rather than that supplier's quote. Ask for the purchased unit, date, market and evidence behind a comparison.

## Questions

### Is the cheapest lead the best value?

Not necessarily. Compare expected contribution after lead cost and follow-up, using the same job type and purchase unit. A low-priced contact with no relevant need may produce no economic value.

### Can I use my quote rate as the conversion rate?

Use lead-to-paid-job conversion for the break-even calculation. A quote is an intermediate step and may not produce a paid job.
